Ambassador RV Rental Terms for travel between 01-Jan-2011 and 11-Jul-2012

Payment
A non-refundable deposit of between 25-30% of your rental cost will be taken from your nominated credit card at time of booking confirmation.  This percentage of the total fees will vary depending on the number of days your booking is placed before travel commencement.

The balance of the base rental cost and any additional pre-paid mileage packages selected will be due 35 days prior to your departure date. Both amounts will be automatically deducted from your nominated credit card.  Other charges like Preparation fees, One Way fees Taxes or optional extras will be payable on vehicle pick up where applicable.

Please ensure there are sufficient funds available on your card as you place your booking.  However, if  you are booking within 35 days of travel, or you choose to book in a currency other than CAD$, the entire cost of the rental will be transacted from your nominated credit card at the time of booking confirmation.

Note: If applicable any fees payable upon arrival will be itemised as such in your final breakdown of pricing.

Cancellation Fees
The initial deposit paid is non-refundable. In addition to forfeiting your deposit, the following charges also apply:

Booking time to 33 days prior to rental:   $200.
32 days to 18 days:                                      50% of invoice amount.
17 days prior to rental:                                 80% of invoice amount.
No show                                                         100%.
One way cancellation:                                  No one way surcharge will be added
Modifications to Confirmation/Invoice: No Charge
 
Standard rates include
- Basic CDR insurance $5000 (if VIP is not purchased). Security deposit will be refunded if vehicle is undamaged.

Standard rates exclude
- There are no free kms included in the daily rate. Kms are charged at $0.35 per km if paid at the end of your rental - you can also pre purchase mileage at super discounted rates on this website once you have started the booking process

Kilometer Plan
$165 for each 500 km package. Charges for exceeding the daily free kilometer  (to be paid locally in Canada plus applicable taxes), additional kilometer will be charged at $0.35 per km.

Vancouver: 7% PST

First night accommodation
It is recommended that clients stay in a hotel for the first night after a transatlantic flight. Same day pick-up is accepted only if the customer(s) arrive at station prior to 15:00 hrs. 
Late charges may apply if pick-up of vehicle extends past office hours.

Transfers
Transfers from/to airport terminals or airport located hotels.  
All clients who do not return the vehicle at the agreed time, unless otherwise specified, will be responsible for their own transfer.

Hours of Operation
Monday - Saturday 08:00 – 17:00 hrs.
$100 Surcharge applies to all handlings on Sundays, holidays or after office hours. (waived if booked through this website)

Substitutions
Ambassador RV reserve the right to substitute models of similar or higher quality. Any subsequent expenses (gasoline, ferry costs etc.) are the sole responsibility of the renter.

Vehicle size
The category of a vehicle is determined by the actual length only. Any reference of the manufacturer to a model or floor plan is irrelevant.

Vehicle Condition
Fleet max. 4 model years. All are non-smoking vehicles. Sorry no animals allowed.

Minimum/Maximum Age of Drivers
21 Years – 75 Years (for drivers under 25 years, the CDR insurance is mandatory. Max. vehicle size is 24 ft.)

Traffic Tickets
Client is responsible for all tickets and fines.

Preparationg Fee
This is a compulsory surcharge which includes transfers, first supply of propane, toliet chemicals and toliet paper.

Renter's Responsibilities
Client is responsible for routine maintenance i.e. check fluid levels, tire pressure, etc. Necessary repairs costing more than  $75  require prior approval and receipts are  required for reimbursement. Exchanged parts must be returned to AMBASSADOR RV. Mechanical problems have to be corrected immediately to avoid discomfort or inconvenience. There is no reimbursement if customer does not inform AMBASSADOR RV within 24 hrs or does not take the necessary steps to have a problem corrected.

Northern Rental
There is no more surcharge for rentals traveling north of Fort St. John on the Alaska Hwy, Cassiar Hwy, into Yukon and Alaska.
Northern travel must be specified and be confirmed at time of reservation in order to provide the proper vehicle suitable for Northern Travel.

TRAVEL RESTRICTIONS
•  No travel on Hwy # 6 north of Ross River
•  No travel on Hwy # 10 north of Tuchita
•  No travel on Hwy # 5 north of Jack Wade
•  No travel on Hwy # 4 and # 6 in Alaska
•  No vehicles allowed into Mexico
•  No driving into or through New York City (city bylaw)
•  No travel through Death Valley between 01 May and 01 Oct
•  No travel to the ‘Burning Man’ event in Nevada
•  No travel on roads marked “gravel, dirt, summer use only or 4x4 only” 
Customers who travel to restricted areas without prior permission will be subject to $1000 penalty and VOID all insurance coverage.

Damage to vehicle
In the event of loss or damage to vehicle while on rental, whether or not due to the fault of the rental customer, the customer’s responsibility for direct and accidental loss or damage to the vehicle is limited to a maximum of $5,000 per occurrence.  There is no limit however if vehicle incurs loss or damage not covered by the insurance as outlined above.

Insurance Information
AMBASSADOR RV maintains liability coverage on all its rental  vehicles to a maximum of $5,000,000 for any bodily injury and property damage liability claims arising from the operation or use  of its rental vehicles.  Premiums for this basic public liability coverage are included in all rental rates, which also include premiums for collision and comprehensive insurance with a deductible of  $5,000 per occurrence.  AMBASSADOR RV provides additional coverage known as CDR (Collision Deductible Reducer) at $25/day to reduce the insurance deductible to $500 per occurrence. This is not an insurance  but a contractual agreement between AMBASSADOR RV and renter, wherein AMBASSADOR RV agrees not to collect more than the agreed deductible from the renter per occurrence for specific losses or damages.

The following are not covered by the insurance and the costs of all resulting repairs/replacements are the sole responsibility  of renter:

* Deliberate and/or willful damages by the renter or damages  caused while driving under the influence of alcohol and/or drugs;
* Damages due to failing to maintain proper tire pressure and damages due to misuse of the braking system (overheating) and/or transmission (overdrive); 
* Failure to maintain all fluid levels;
* Failure to use specified fuel or use of contaminated fuel; 
* Damages to the interior, not caused by an accident;
* Damages occurred when driving in prohibited areas, mentioned in “travel restrictions” above; 
* Operation by anyone under 21 years of age or not licensed;
* More passengers than the available seat belts; 
* Towing of any kind;
* Freezing of the vehicle’s systems;
* Motorhome theft in Montreal.

Damage to vehicle

SECURITY DEPOSIT
Basic insurance $2,000 (if CDR/VIP is not purchased). Security deposit will be refunded if vehicle is returned undamaged, on time, clean, equipment complete, holding tanks empty, gas and propane tank full. Deposits given by credit cards will be refunded by same. AMBASSADOR RV cannot be held responsible for any currency variances which may occur. CDR/VIP Insurance: Signed VISA or MASTERCARD imprint only.

Responsibility of incidental or consequential costs
AMBASSADOR RV is not responsible for hotel charges, car rental or any other incidental or consequential costs in the event of a breakdown.  Any accident, damage to the vehicle, vandalism, fire or theft, must be reported to AMBASSADOR RV within 24 hours. A report to AMBASSADOR RV/ICBC and/or Police must be filed in case of an accident, any damage to vehicle, vandalism, fire or theft, otherwise insurance is null and void.

Accident procedure
In case of an accident, AMBASSADOR RV will process the credit card security deposit until the vehicle insurance company determines responsibility of the accident. If the vehicle insurance notifies AMBASSADOR RV that the renter is not at fault, AMBASSADOR RV agrees to reimburse the security deposit immediately after receiving notification from the vehicle insurance company.

The rates on this website are often heavily discounted. This is due to our negotiated rates and bulk buying power. On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.

Liability
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.

When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.

While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Information disclosure
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.

Refund Policy
We are committed to providing a quality service and aim for complete customer satisfaction. In the event of cancellation, any refunds or penalties are detailed in the terms and conditions of your selected vehicle that you are asked to read and accept at time of booking. In the event you are unsatisfied with our service, please contact us within 48 hours of placing your booking or request and we will work to resolve any issues and determine if compensation is due. In the event you have completed your rental and are unhappy with your vehicle, we are happy to assist you in seeking compensation from the operator of the vehicle.

Insurance Information
